Setting Up BackOffice

This article goes over how to set up Teachable’s BackOffice feature and outlines the various services available through BackOffice.

Eligibility

BackOffice is available to schools on all paid plans (Basic plan and up) that have set up either the Monthly Payment Gateway or Teachable Payments created after 10/9/18. BackOffice is not available for schools using custom payment gateways.

BackOffice Services

We currently offer a variety of services through BackOffice. Once you opt-in to BackOffice, you’ll receive the following services:

Automatically Pay Out Your Affiliates and Authors

Teachable will automatically distribute payouts to affiliates and authors in your school via PayPal. Teachable distributes payouts to authors and affiliates every 30 days on the first business day of the month.

Handle Tax Forms

As a business owner, you're expected to collect W-9 or W-8BEN forms from every affiliate and author that has made over $600 by the end of the year. Through BackOffice, Teachable will automatically handle and collect these forms from your affiliates and authors, as well as issue them a 1099 before January 31st of the following year.

Collect and Remit European Union Valued Added Tax (VAT) - Optional

If you expect to have students from the EU — most likely you will — then you’ll be required to collect and remit VAT. Teachable automatically collects VAT on every transaction processed through all payment gateways. With BackOffice, Teachable will also automatically handle filing and remitting VAT directly to the EU VAT authorities for you.

Enable PayPal - Optional

If you’d like to offer PayPal as a payment option for your students, BackOffice allows you to enable PayPal as a payment gateway in your school when using the Monthly Payment Gateway or Teachable Payments. Teachable will automatically track and pay out PayPal payments every 30 days (i.e. on the first business day of the month) to school owners, authors, and affiliates.

NOTE: Students won’t be able to purchase a course via PayPal for any kind of recurring pricing plan, like an ongoing subscription or payment plan. PayPal will also not display as a payment option for students if the course is priced in a currency other than USD.

Enabling BackOffice

If you did not opt-in to BackOffice through Teachable Payments onboarding, or you’re using another gateway, then you can opt-in to BackOffice by completing the following steps:

  1. Log in to your Teachable school.
  2. Click on Settings in the admin sidebar and navigate to the Payments section.
  3. In the Teachable BackOffice section, click on the Enable Teachable BackOffice button.admin-settings-payments-enable-backoffice.gif
  4. Click Enable BackOffice to confirm. Alternatively, if you want to disable BackOffice, you can click on the Disable Teachable BackOffice button.
