Enrollment Caps

This article gives an overview of enrollment caps. It reviews how to add an enrollment cap, how to manage and edit your existing enrollment caps, and what happens when an enrollment cap is reached.

Overview

Enrollment caps allow school owners to limit the amount of students that can enroll in a course, coaching product, or product bundle. They can help creators drive sales, as they provide an urgency driver—encouraging students to enroll in a product or price point that has a limited capacity. Additionally, enrollment caps help facilitate cohort-based learning as school owners can set the group sizes of their courses or coaching products.

For schools on the Basic plan and up, you can add an enrollment cap to any course, coaching, or bundle pricing plans. For example, you can add a one-time purchase pricing plan to a product with an enrollment cap of 100. Once 100 students purchase that one-time pricing plan, that pricing plan will be archived so no additional students will be able to purchase that particular pricing option.

Add an enrollment cap

Enrollment caps are added on the pricing plan level. To add an enrollment cap:

  1. Navigate to the Pricing tab of the product. (If you are setting up a new coaching product, you will be prompted to set up the pricing as a part of the product setup. If so, you can skip steps 1 and 2 of this guide and start with step 3 once you get to the pricing plan setup. Learn more about creating a coaching product.)
  2. Click the Add Pricing Plan button in the top right corner of the page.The screen shows the admin of a Teachable school. From the left-side admin menu, the Courses icon is circled, then the Pricing tab (from within a specific course) is circled. At the top of the Pricing page, there is an arrow pointing to the ADD PRICING PLAN button in the top right corner of the screen.
  3. Select a pricing plan type (Free, One-Time Purchase, Subscription, or Payment Plan). 
  4. Toggle on the Add Enrollment Cap? button.
  5. Enter any whole number (greater than 0) in the Number of enrollments available field.
  6. Optional: Toggle on the Show count on sales page and checkout setting. If enabled, the pricing option display includes a flag that shows students how many available seats remain. 
  7. Fill in the rest of the pricing plan details. (We recommend including some information about the enrollment cap in the pricing plan name or description so that students understand enrollment space is limited.)
  8. Click Add Pricing Plan to complete.

After you create a pricing plan with an enrollment cap, make sure to add that pricing plan to a Pricing block on your sales page. This way, students will see the pricing plan on the sales page when they go to enroll.

If you have multiple pricing plan options listed on your sales page Pricing block, students choose which option to enroll in. Pricing plan options and their enrollment limits work independently of each other—this means that:

  • If you only have an enrollment cap on one pricing option, students will be able to enroll in the other pricing option(s) without limit.
  • If you have enrollment caps on all pricing options, the total number of students that can enroll in the course is the sum of the enrollment caps on each pricing option. For example, if you have a 50 person enrollment cap on pricing plan A, and a 100 person enrollment cap on pricing plan B, 150 total students can enroll in the course.

What happens when the enrollment cap is reached?

When an enrollment cap is reached, the pricing plan is archived. Archived pricing plans are not visible on sales pages, and students cannot purchase archived pricing plans. School owners can view their archived pricing plans from the Pricing page of the product.

NOTE: You can archive and restore pricing plans at any time. Restoring a pricing plan with an enrollment cap will reset the enrollment cap count to 0. Learn more about archiving and restoring pricing plans.

If the sales page Pricing block does not have any other active pricing plans listed, then students will see a “This course is closed for enrollment” message. You can remove this message by deleting the Pricing block or adding another active pricing plan to it.

If the enrollment cap is reached while a student is on the checkout page, they will see an error message at the top of the page when they try to purchase that states “Sorry, this item has sold out.”

View and edit enrollment caps

You can check how many students have enrolled on a pricing plan with an enrollment cap at any time—this information is available in the Enrollment Cap column of the course Pricing page:The screen shows the admin of course PRICING page. There is an ENROLLMENT CAP column for all active pricing plans that shows the number of students enrolled. For example, the column shows 1/4 for a pricing plan that has 1 student enrolled in a pricing plan with a max capacity of four students.

You can edit enrollment caps at any time. To edit an enrollment cap:

  1. Navigate to the Pricing tab of the product.
  2. Click the Edit icon next to the pricing plan you want to edit.The screen shows the admin view of a sample Teachable course. From the left side admin menu, the PRICING tab is circled. On the main page, there is one pricing plan listed, and the EDIT (i.e., PENCIL ICON) is circled.
  3. Enter in an updated enrollment cap number in the Number of enrollments available field, and click Save.The user changes the number in the NUMBER OF ENROLLMENTS AVAILABLE FIELD from 4 to 10, then clicks the SAVE button.

Keep the following in mind when editing enrollment caps on your course pricing options:

  • When increasing or decreasing the enrollment cap number, students who have already enrolled on that enrollment cap will still count towards the enrollment cap limit.
  • If you decrease the enrollment cap number, the new enrollment cap limit cannot be lower than the number of students already enrolled.
  • You can add an enrollment cap to pricing plans that previously did not have an enrollment cap. If you do so, previous enrollments will not count towards the enrollment cap number you set.

Reset enrollment caps

You can reset an enrollment cap at any time. Resetting an enrollment cap can be useful if you’ve already sold out and want to add more enrollments, or if you’re ready to sell to a new cohort of students.

When you reset an enrollment cap, the enrollment cap count on the pricing plan will reset to zero. (This does not impact previously enrolled students’ product access.)

To reset an enrollment cap:

  1. Navigate to the Pricing tab of the product.
  2. Click the Edit icon next to the pricing plan/enrollment cap you want to reset.
  3. In the popup window, scroll to the Plan Info box.
  4. Click the Reset count button next to the Enrollment cap fulfillment heading.
  5. Click Save at the bottom of the popup to save your changes.

Remove enrollment caps

You can also remove the enrollment caps from pricing plans at any time. When you remove an enrollment cap, an unlimited number of students can then enroll in the pricing plan.

To remove an enrollment cap:

  1. Navigate to the Pricing tab of the product.
  2. Click the Edit icon next to the pricing plan/enrollment cap you want to remove.
  3. Turn off the Add enrollment cap toggle.
  4. Click Save at the bottom of the popup to save your changes.

In the EDIT PRICING PLAN popup, the user turns off the ADD ENROLLMENT CAP toggle, then clicks SAVE.
